How to Change the Voicemail Greeting in RingCentral

How to Change the Voicemail Greeting in RingCentral From a PC

RingCentral is a communication app you can use to call someone, message team members, and schedule video conferences. It’s a great communication tool for both professional and personal use. It comes with many messaging and phone features, one of which is voicemail.

When you create your RingCentral account, your voicemail greeting will be set by default. The voicemail greeting is a prerecorded message that informs the caller you’re not available to answer the phone at that moment. The caller can then leave a message or call back if they want. This communication tool is very useful when you’re too busy to talk or don’t hear the phone ringing. Not to mention how handy it can be when you don’t recognize the caller ID.

If you don’t like the default voicemail greeting or think it’s too generic, you can always change it and use your own recording. Changing your voicemail greeting is much easier on the phone app, where you can simply record a new message. If you want to set up a different voicemail greeting in RingCentral on your PC, there are three ways to do this.

  1. Use your computer’s microphone to record a new voicemail greeting.
  2. Upload an MP3 or a WAV file to your RingCentral account.
  3. Have RingCentral call you so you can record a new voicemail greeting on your phone.

No matter which option you choose, you’ll be able to set up a new voicemail greeting in RingCentral in a few minutes. Follow the steps below to find out how it’s done.

  1. Visit the RingCentral website on your browser and log in to your RingCentral account.
  2. Click on the “Settings” icon in the bottom-left corner of the screen.
  3. Select “Phone” from more option and drag to tab order.
  4. Now select “Phone” on the left sidebar.
  5. Click on “Edit” next to “Voicemail.”
  6. Under “Voicemail greeting type,” select “Custom.”
  7. Choose the “Record” button.
  8. Select “Phone,” “Microphone,” or “Importing.”
  9. Record or import the new voicemail greeting.
  10. Click on the “Save” button in the bottom-right corner.

If you choose the Phone option, you need to enter your phone number so RingCentral can call you. You can also just select the Call Now button and get it over with quickly and efficiently. Note that this is a generated call, so just follow the instructions and press any buttons as necessary. The whole process shouldn’t take more than a couple of minutes.

If you want to record your new voicemail greeting via a microphone, press the red record button, record your new voicemail greeting, and click on the Done button. Keep in mind that RingCentral will ask you for permission to use your microphone beforehand. This is a great option if you don’t have your phone with you at the moment.

If you want to import your prerecorded voicemail message, click on the browse button and choose the file from where you stored it on your computer. When you’re finished, click on the Done button in the same window. This method takes the most time, since you will need to record the message with your phone and then transfer it to your computer.

While you’re there, you can also change the voicemail PIN. By default, every RingCentral user has the same PIN. Simply type in your new PIN and confirm it. However, there are some criteria for the PIN. For example, you can only use digits, and you can’t repeat two or three digits (e.g., 222). You also can’t use sequential numbers, like 1234.

Once you save the changes, the next time someone calls you via the RingCentral app and you don’t answer, they will hear your new voicemail greeting. Note that your ringtone settings immediately apply to all your devices. So if you change your voicemail greeting on your PC, you won’t need to do it again on your mobile app.

How to Change the Voicemail Greeting in RingCentral From an iPhone

It’s much easier to change your voicemail greeting in RingCentral on your iPhone. You just need to record a new message on your phone. There is no need to call anyone or import recordings from other devices. Here’s how it’s done.

  1. Open the RingCentral app on your iPhone.
  2. Tap on the “More” icon in the bottom-right corner of your screen.
  3. Go to the “Incoming Calls” and Navigate to “Voicemail”.
  4. Change the voicemail greeting type to “Custom.”
  5. Tap on the “Play” button to start recording.
  6. When you’ve finished recording, tap on the record button again.
  7. Set the new voicemail PIN.
  8. Save the changes.

That’s all there is to it. Before you save the recording, make sure to listen to it to see if everything sounds okay. If you don’t like it, you can easily record another one.

Note that the option to change your voicemail greeting will only be available if you choose the Forward to voicemail option. If you want to check, go to the Voicemail section, and then go to When a call is not answered. You can choose between Forward to voicemail, Play a message, then disconnect, and Send call to a calling group. Make sure you choose the first option.

How to Change the Voicemail Greeting in RingCentral From an Android

If you have an Android device, you can also change the voicemail greetings in the RingCentral app. It will only take you a minute or two. Here’s what you need to do.

  1. Launch the RingCentral app on your Android device.
  2. Head over to the “More” icon in the bottom-right corner of the screen.
  3. Select “phone” on the pop up menu.
  4. Proceed to the “Voice” tab on the top menu.
  5. Go to “Voicemail greeting type.” and Change it to “Custom.”
  6. Tap on the recording button to start recording your message.
  7. Once you’re finished, tap on the recording button again.
  8. Enter the new voicemail PIN underneath and confirm it.
  9. Save the changes.

You have successfully changed the voicemail greeting in the RingCentral app. The next time you get a call in the app and you’re not there to answer, the caller will hear your new recording.
